Room Hire Terms and Conditions

By signing the Room Hire Booking Form, you (the "Hirer") agree to the following Terms and Conditions:

1. Booking Confirmation & Payment

All room hire bookings must be confirmed in writing through the completed booking form.

A non-refundable deposit of £100 of the total room hire fee is required at the time of booking to secure your reservation.

The full balance must be paid no later than 7 days prior to the event date.

If the booking is made within 7 days of the event, full payment must be made at the time of booking.

2. Cancellations

Cancellations must be made in writing and are subject to the following charges:

More than 14 days before the event: 50% of the total booking fee will be refunded.

Less than 7 days before the event: No refund will be issued.

If the Hirer fails to pay the balance by the due date, the venue reserves the right to cancel the booking.

3. Use of the Room

The room may only be used for the purposes outlined in the booking form. Any changes to the intended use must be approved by the venue.

The Hirer must ensure that the event does not disrupt other activities at the venue.

The Hirer is responsible for ensuring that the number of attendees does not exceed the maximum room capacity.

4. Access & Set-Up

The Hirer will be granted access to the room from the time the room is booked (unless otherwise agreed)

The Hirer must ensure that the room is vacated promptly after the event. Any additional time required for setup or teardown may be subject to additional charges.

5. Catering & Refreshments

Any catering arrangements must be made at least 14 days before the event date. The venue reserves the right to charge extra for any late catering orders.

The Hirer must inform the venue of any dietary restrictions or allergies at the time of booking.

The Hirer may not bring external catering unless agreed upon in writing with the venue. Unauthorized catering will incur additional fees.

Use of the kitchen may be provided at an additional cost. The hirer is responsible for ensuring the kitchen and all equipment is left clean. If the kitchen is not cleaned the hirer agrees to pay the cleaning costs at £100 per hour.

6. Damage & Liability

The Hirer is responsible for any damage to the room or venue property caused during the event. The Hirer agrees to reimburse the venue for the cost of repairs or replacement.

The venue is not liable for any loss, injury, or damage to persons or property during the event, except as caused by the venue’s negligence.

7. Insurance

The Hirer is required to have public liability insurance all events. A copy of the insurance policy must be provided to the venue before the event.

The venue may provide insurance coverage for the event for an additional fee, subject to availability.

8. Health & Safety

The Hirer must comply with all health and safety regulations, including fire safety and evacuation procedures.

The Hirer is responsible for ensuring that attendees do not block emergency exits or interfere with the venue's fire prevention equipment.

The Hirer must ensure the room remains clean and safe during the event.

9. Alcohol and Smoking

Only alcohol purchased from the venue may be consumed on the premises. The Hirer must comply with all relevant licensing laws.

Smoking is strictly prohibited inside the venue. Designated smoking areas will be provided, and the Hirer is responsible for ensuring attendees comply with this policy.

10. Indemnity

The Hirer agrees to indemnify and hold harmless the venue and its staff from any liability, claims, or costs arising from the event, including but not limited to claims for personal injury, property damage, or violation of any laws.

202511. Force Majeure

The venue is not responsible for any failure to fulfill its obligations under this agreement due to circumstances beyond its control, including but not limited to natural disasters, strikes, government restrictions, or any other event of force majeure.

12. Amendments

The venue reserves the right to make changes to these Terms and Conditions at any time. Any changes will be communicated to the Hirer prior to the event.

13. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England
